These terms and conditions govern your participation in The Passage challenge events.
By accepting a charity place with The Passage, you are committing to fundraising and representing the charity at your chosen event.
1. Registration and Participation
- By registering for a challenge event, you agree to these terms and conditions.
- You confirm that you will meet the minimum age requirement for your event (usually 18 years old unless otherwise stated).
- You are responsible for completing any required registration with third-party event organisers by the stated deadlines. Failure to do so may result in your place being withdrawn.
- Your registration fee is non-refundable, non-transferable, and cannot be used towards your fundraising target.
2. Fundraising Commitment
- By accepting a charity place, you commit to raising the minimum sponsorship stated for your event.
- Gift Aid does not count towards your minimum fundraising target.
- You agree to raise at least 30% of your fundraising target no later than two months before your event, and to show consistent fundraising activity.
- Your full fundraising pledge must be paid to The Passage within one month of the event, unless otherwise agreed.
If you do not meet your fundraising commitment, The Passage reserves the right to:
- Ask you to cover the shortfall personally.
- Withdraw your place in the event.
- Decline future event applications.
3. Communication and Engagement
- You agree to engage with communications from The Passage Events Team regarding your participation and fundraising.
- We may contact you by email, phone, SMS, or post to support your event journey.
- If you do not respond to communications, begin fundraising, or share your fundraising plans, we may withdraw your place.
4. Fundraising Conduct
You agree to carry out your fundraising in a legal, safe, and responsible manner, and in line with The Passage guidance.
You must:
- Clearly state that you are fundraising “in aid of” The Passage
- Seek permission before using The Passage name or logo
- Obtain approval before organising events such as raffles, lotteries, or public collections
- Not approach media, sponsors, or public figures on behalf of The Passage without prior consent
- Ensure your fundraising does not put undue pressure on others or harm the reputation of The Passage
5. Payments and Sponsorship
- All sponsorship funds must be paid directly to The Passage.
- Funds raised should be submitted no later than four weeks after the event.
- If you do not take part in the event, all sponsorship raised will be treated as donations unless sponsors request a refund directly.
- The Passage is unable to refund anonymous donations.
6. Withdrawal and Deferral
- If you are unable to take part, you must notify us as soon as possible.
- The Passage reserves the right to withdraw your place if you do not meet the required fundraising, communication, or registration requirements.
- If you withdraw close to the event date, The Passage may ask you to contribute towards your agreed fundraising pledge.
Deferral
- You may defer your place to the following year once only
- To defer, you must have raised at least 30% of your fundraising target
- If you defer more than once, you must reapply, pay a new registration fee, and commit to the full fundraising target
- You may carry over funds raised into your deferred year
7. Health, Safety and Responsibility
- You confirm that you are in suitable health and fitness to take part and will seek medical advice if necessary.
- You take part in the event at your own risk.
- The Passage is not responsible for any injury, loss, or damage sustained during the event unless caused by negligence.
- You are responsible for your own belongings and personal conduct at all times.
- The Passage reserves the right to withdraw participation from anyone acting irresponsibly or under the influence of alcohol or illegal substances.
8. Event Organisers
- The event organiser is responsible for the delivery and safety of the event.
- You agree to comply with the terms and conditions of the event organiser.
- The Passage accepts no responsibility for the organisation or operation of the event itself.
9. Data and Media
- You consent to The Passage storing and processing your personal data in line with our Privacy Policy.
- You agree that your details may be shared with the event organiser to facilitate your participation.
- You grant The Passage permission to use photographs or video footage from the event for promotional and fundraising purposes.
