Administrator Volunteer

A lot of work goes on ‘behind the scenes’ to help our services run smoothly and effectively. We are currently updating our staff database and are seeking a volunteer to support our HR and Volunteering Team with administration associated with this. You will be helping us to streamline our records and tasks include scanning paper documents, uploading them to SharePoint and filling them electronically on our database. As an administrator volunteer in the HR and Volunteering Team, you will have access to sensitive information so an understanding of GDPR and confidentiality would be welcome.


A weekday 10.00am - 1.00pm OR 2.00 - 5.00pm OR 10.00 - 5.00pm
This is short term role until the project is complete

About this Role

This is a short-term role that would be suited to someone who had used Office 365 previously and is confident and competent using SharePoint and Outlook. You will receive training in our data protection and confidentiality procedures and ongoing support and guidance from a member of the HR and Volunteering Team who will supervise you.

What will I be doing?

  • Scanning paper documents and saving them in correct file on SharePoint
  • General support around checking data and flagging issues
  • Other tasks that become apparent relating to this

What skills do I need?

  • Aged 18 or over – essential
  • Confident with computers
  • Prior knowledge of Microsoft 365 and Sharepoint
  • Excellent attention to detail
  • Organised and able to perform tasks in a methodical way
  • Ability to uphold and respect The Passage policies and procedures

A few volunteering roles require volunteers to do a DBS check (previously called CRB checks). If your role requires a DBS check, we will ask you to disclose any spent and unspent conviction, cautions, reprimands or final warnings when we receive your application, except those which are “protected” as defined by the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (as amended in 2013).

Some roles require a DBS check because of the nature of the tasks involved and because our clients are classed as Adults at Risk which means certain roles are exempt from the Rehabilitation of Offenders Act 1974. Having a criminal record will not necessarily prevent you from volunteering with The Passage but some convictions may require further discussion.
